Role Overview

We are seeking a highly organized, proactive Executive Assistant to act as a true extension of the founder. This role is designed to free up executive time, support leadership responsibilities, and ensure smooth coordination across internal teams, meetings, and logistics.

The Executive Assistant will primarily support email and calendar management, meeting preparation and follow-up, travel and event coordination, internal communication, and light systems support. This is not a client-facing advisory role, but rather a strategic support position working closely with leadership and key team members.

This role requires someone who is detail-oriented, responsive, comfortable juggling priorities, and

confident operating in a fast-paced professional environment.


Key Responsibilities

Executive & Administrative Support

Manage a high-volume email inbox, including:

Monitoring incoming messages

Drafting and sending timely responses where appropriate

Flagging priority items and required follow-ups

Own calendar management:

Scheduling, rescheduling, and coordinating meetings

Managing availability and minimizing scheduling conflicts

Assist with preparation for internal meetings:

Agenda creation

Gathering relevant materials

Meeting prep and reminders

Track action items and ensure follow-through after meetings


Travel & Event Coordination

Arrange travel logistics for the executive, including:

Flights, hotels, ground transportation

Conference and event itineraries

Coordinate internal events and off-sites:

Team retreats, annual kickoffs, mid-year events

Monthly or recurring team meetings requiring venue booking

Handle vendor coordination related to events (venues, catering, accommodations)


Internal Team Support & Communication

Serve as a coordination point between leadership and internal team members

Support internal communications via Slack and email

Assist with scheduling and logistics for team meetings

Help maintain organization across internal workflows and documentation


Documentation & Systems Support

Create and maintain internal documents in Notion

Assist with task tracking and light CRM task management

Work with Google Docs and Google Sheets for reporting and organization

Support structured workflows using existing playbooks and processes


Light Social Media Support (Non-Creative)

Schedule and post social media content provided by the team

Ensure consistent posting and basic online presence

No content creation, strategy, or growth responsibility required

Required Skills & Experience
  • 35+ years of experience as an Executive Assistant or senior administrative professional
  • Strong email and calendar management skills
  • Excellent written and verbal English communication
  • High attention to detail and strong follow-through
  • Comfortable working with senior leadership
  • Ability to manage multiple priorities without constant supervision
  • Strong organizational and time-management skills


Tools
  • Experience with or ability to quickly learn:
  • Email platforms (Microsoft 365 / Outlook)
  • Slack
  • Google Workspace (Docs, Sheets)
  • Notion (documentation, agendas, tracking)
  • CRM systems (general familiarity preferred; training provided)


What Success Looks Like
  • The executive spends significantly less time in email and scheduling
  • Meetings are well-prepared, documented, and followed up
  • Travel and events are seamlessly coordinated
  • Internal communication flows smoothly
  • Leadership time is protected for strategic and client-facing work

$800 - $1,100 a month
Full-time: 40 hours per week
Core working hours aligned with Eastern Time (approx. 8:30 AM 4:30 PM ET)
Some flexibility required based on meetings and events
